How to win back lost deals from your CRM

Short answer

Go through your closed-lost deals and cold leads, find the ones where the reason they stalled has changed (new budget, a champion still in role, a contract up for renewal), and send each a short message that references their real history. A handful of well-chosen, specific messages beats a mass re-engagement sequence.

Your CRM is full of people who already know you: deals lost on timing, demos that went quiet, buyers who chose a competitor. They're warmer than any new lead, and most teams never go back to them.

1. Sort by why they stalled

Why it stalledWhat to look for now
Lost on budgetA new financial year has started
Went quiet after the demoYour champion is still in the role
Lost to a competitorTheir contract is coming up for renewal
Bad timingThe date they gave you has passed

2. Pick the few worth a conversation

Not every old lead deserves a message. Choose the ones where something has plausibly changed. Ten specific messages will do more than five hundred generic ones.

3. Write from their history

Hi [Name],

We last spoke in [month], when [the reason it stalled]. You mentioned [what would change], so I wanted to reach out now. Worth a short call?

[Your name]

4. Pace it

Send a few a day, not all at once, so you can handle the replies properly.

How Viro does this from day one

Bring your old CRM into Viro and every closed-lost deal and cold lead comes across. Viro reads why each one stalled, picks out the ones worth another conversation and drafts each message from that lead's real history. You get the list and the drafts in your first week, and you decide how many go out each day.
