Short answer

A good follow-up after a sales call is short, specific to what was said, includes whatever you promised, and ends with one clear next step. Below are five templates for the moments that matter most, from the same-day recap to the win-back months later.

1. The same-day recap

Use it: within hours of a good first call.

Subject: Recap and next steps, [Company]

Hi [Name],

Thanks for the time today. Quick recap of where we landed:

  • [Their main problem, in their words]
  • [What you agreed to look at]
  • [Who else needs to be involved]

I've attached [the thing you promised]. Would [day] or [day] work to go through it with [stakeholder]?

[Your name]

2. The proposal follow-up

Use it: when they asked for pricing or a proposal.

Subject: [Company] proposal

Hi [Name],

As promised, the proposal is attached. It covers [the scope you discussed] and [the pricing option they asked about]. The part most relevant to [their goal] is on page [X].

Happy to walk [decision-maker] through it. Does [day] work?

[Your name]

3. The deal that went quiet

Use it: one to two weeks after no reply.

Subject: Still on your list?

Hi [Name],

When we spoke you mentioned [specific pain or deadline]. Is that still a priority this quarter, or has something moved?

Either answer helps me know whether to keep this open.

[Your name]

4. The Q3 check-in

Use it: when they said “come back to us in Q3”.

Subject: Picking this back up, as promised

Hi [Name],

In [month] you asked me to check back in Q3, after [the budget review or event they mentioned]. Is now a better time to look at [the problem]?

I've attached [the case study they asked about] in case it's useful for the conversation.

[Your name]

5. The win-back

Use it: for an old or lost deal where something has changed.

Subject: [Their new financial year or renewal]

Hi [Name],

We last spoke in [month], when [the reason it stalled]. You mentioned [what would change, like a new budget or a renewal date], so I wanted to reach out now.

Worth a short call?

[Your name]

What makes these work

  • Specific beats polished. One detail from the call does more than a perfect paragraph.
  • Attach what you promised. A follow-up without the deck becomes a second follow-up.
  • One question at the end. Make the next step easy to say yes to.
  • Timing is most of it. The same email is far stronger the same afternoon than the next week.

Or skip the templates

Templates still need you to fill in the brackets after every call. Viro writes each of these from the call itself, in your voice, with the attachment, and texts it to you to send. It also remembers the Q3 check-in and drafts win-backs for your old leads. How to automate sales follow-up.
