You’re probably reading this because someone you’re meeting with uses Viro. This page explains what that means for you, in plain terms.
What Viro is
Viro is a sales platform. It uses AI agents, called Iris and Nike, to help its users prepare for meetings, take notes, and handle follow-ups. Viro is operated by The Scaling Company, a Delaware corporation doing business as Viro.
Who is responsible for your information
The person or company you’re meeting with decides how Viro is used in their meetings. They are responsible for your information (in data protection terms, they are the “controller”). Viro processes it on their behalf and under their instructions.
How Viro may show up in your meeting
Viro users choose one of these modes for each meeting:
Copilot. An AI participant joins the call with a name ending in “(Viro AI)”. It takes notes while the Viro user leads the meeting.
Proxy. The Viro user can’t attend, so Iris attends on their behalf. Iris introduces herself as an AI at the start of the meeting, and she will tell you honestly that she’s an AI if you ask. Iris can’t agree to pricing, contract terms, or other commitments on the user’s behalf. The user follows up on anything that needs a decision.
Ghost. No AI participant joins the call. The Viro user captures the meeting through a browser extension on their own computer. Viro requires its users to tell you when they use this mode.
Unassigned. Viro doesn’t join or capture the meeting at all.
What Viro captures
When a meeting is captured, Viro may process the audio and a transcript of the conversation, along with meeting details such as participants’ names, email addresses, and the calendar invite. Viro uses this to create notes, update the user’s sales records, and draft follow-up messages for the user.
Viro does not use your recordings or transcripts to train AI models.
Your choices
- Before or at the start of the meeting, you can say you don’t want to be recorded. The user can then switch Viro off for that meeting or reschedule.
- During a meeting, you can ask the Viro participant to leave.
- After a meeting, you can ask the person you met with to delete the recording, transcript, or notes.
Depending on where you live, you may also have legal rights to access, correct, or delete your information. Because the Viro user controls your information, requests usually go to them. If you can’t reach them or need help, email legal@meetviro.com and we’ll pass your request on and help the user respond.
