This AI Disclosure and Acceptable Use Policy (the “AI Policy”) explains how Viro uses artificial intelligence, what it can and can’t do, and the rules for using it. Viro is operated by The Scaling Company, a Delaware corporation doing business as Viro (“Viro”, “we”, “us”, or “our”). This Policy forms part of our Terms of Service, and capitalized terms not defined here have the meanings given there.
1. Where Viro Uses AI
Viro’s AI Features are run by two agents:
Iris prepares you for meetings, joins meetings in the mode you choose, captures what was said, keeps your records current, and talks with you through your chosen channels.
Nike carries out the work that follows: drafting and sending follow-ups, creating supporting documents, updating deal stages, and scheduling next steps, within your autonomy settings.
AI powers transcription, summaries, drafting, record updates, deal stage suggestions, re-engagement of past contacts, and Iris’s conversations with you and, in Proxy mode, with Meeting Participants.
2. The Models Behind Viro
Viro uses AI models from third-party providers, listed on our Subprocessor List. Viro does not train its own foundation models. We do not use Customer Data to train or improve any AI model, and we require our providers not to use it for training. Viro personalizes drafts to your writing style within your own account.
3. Transparency to the People You Meet
People should know when they are dealing with AI. These protections are built into Viro and cannot be switched off:
- Viro’s meeting participant always appears with a name ending in “(Viro AI)”.
- In Proxy mode, Iris introduces herself as an AI assistant acting for you at the start of the meeting and tells participants the meeting is being recorded.
- Iris always answers truthfully when asked whether she is an AI.
- By default, Iris will not agree to pricing, discounts, contract terms, or other binding commitments in Proxy mode.
- If a participant objects to capture, Viro stops capturing or leaves the meeting.
In Ghost mode, no participant joins the call, so you must tell participants yourself that the meeting is being captured. Our Meeting Participant Notice explains Viro to the people you meet, and you are free to link to it.
4. Messages Sent in Your Name
Nike writes in your voice, and messages go out from your own accounts with no Viro branding. You are the sender. Because recipients may not know a message was drafted by AI, you remain responsible for its content and for complying with marketing and anti-spam law. Where the law requires you to disclose AI-generated content, you must do so.
5. Autonomy and Human Oversight
You choose how much Viro does without your approval, from drafting everything for review to acting on its own across your pipeline. We recommend starting with drafts and widening autonomy as you see the work. Whatever you choose, you can review what Viro has done, change your settings at any time, and pause Automated Actions.
6. Limitations
AI can be wrong. In particular, Viro’s AI Features may:
- mishear or mis-transcribe speech, especially with poor audio, accents, crosstalk, or specialist terms;
- summarize inaccurately, miss context, or attribute statements to the wrong person;
- draft messages with incorrect facts, tone, or commitments;
- suggest or make record or stage changes that don’t match what actually happened; or
- behave differently for the same input.
Outputs are not legal, financial, tax, or other professional advice. Review anything important before relying on it, and check messages that commit you to something before they are sent.
7. Acceptable Use
You may not use Viro’s AI Features to:
- pretend that Iris, Nike, or any AI output is a human, or remove or obscure AI disclosures;
- impersonate a real person other than yourself, or send messages in someone else’s name without their authority;
- record or monitor anyone covertly, or in breach of recording, wiretap, or privacy laws;
- deceive, manipulate, or pressure people, including by making false claims about products, prices, or deadlines;
- send spam or contact people without a lawful basis;
- make decisions about individuals’ employment, credit, housing, insurance, or access to essential services;
- infer or profile people based on sensitive characteristics such as health, ethnicity, religion, or sexual orientation;
- target or contact children; or
- extract our models or prompts, or use Outputs to build a competing product.
We may suspend AI Features for any account that breaches this Section, as set out in our Terms of Service.
8. Regulation
We design Viro to meet the AI transparency obligations that apply to us, including those in the EU AI Act, and we monitor developments in AI law. Viro is not designed for the high-risk uses listed in Annex III of the EU AI Act, and you may not use it for them.
9. Reporting Problems
If Viro produces a harmful or inaccurate Output, or you think it has been misused, email legal@meetviro.com with the subject line “AI Safety Report”. We review every report.
10. Changes
We may update this Policy as Viro and the law change. We will give at least 14 days’ notice of material changes by email or in the Platform.
